BUYER AGREEMENT FOR PARTICIPATION & CONSENT FORM

FAM TRIP OVERVIEW:

The following outlines the terms and conditions for participation in the FAM trip organised by Tokyo Convention & Visitors Bureau (TCVB) and Tokyo Metropolitan Government (TMG):

  • Target Markets: UK, Europe, USA and Australia.

  • Dates: Wednesday 7th October to Saturday 10th October 2026 (3 nights / 4 days).

  • Number of Participants: 6 buyers, 1 Connections staff member.

INCLUSIONS

  1. Accommodation

    1. Single-occupancy accommodation for three (3) nights at The Okura Tokyo.

  2. Transportation

    1. Private transportation will be provided throughout the official itinerary.

    2. Shinkansen bullet train ticket from Osaka to Tokyo (one way) will be provided.

  3. Meals

    1. All meals (breakfast, lunch, and dinner) will be provided during the trip. Please inform the Connections team of any dietary requirements or restrictions.

  4. English-speaking guide/interpreter

    1. An English-speaking guide/interpreter will accompany the group throughout the trip.

  5. Travel insurance

    1. Participants must purchase international travel insurance in their country of origin prior to departure. Proof of insurance may be requested.

PARTICIPANT RESPONSIBILITIES

Participation in all scheduled activities is mandatory. By accepting a place on this trip, you agree to the following terms:

  1. Full attendance of all scheduled programmes and activities between 7-10th October is required. Partial attendance or skipping activities is not permitted.

  2. Expenses outside of the official FAM trip schedule will not be covered.

  3. Each participant is responsible for obtaining a valid visa to enter Japan before departure if required.

  4. Any dietary restrictions, allergies, or medical conditions must be communicated to the organisers of the trip.

  5. Smoking is strictly prohibited in accommodation and designated non-smoking areas.

  6. Participants must complete three surveys:

    • Pre-trip survey: to be submitted before the trip.

    • Post-trip survey: to be submitted upon return.

    • Follow-up survey: to be completed approximately 6-12 months after the trip.

CODE OF CONDUCT

Participants are expected to behave professionally and courteously throughout the trip. Any inappropriate behaviour may result in removal from the programme and/or cancellation of coverage for expenses.

USE OF PHOTOGRAPHS AND RECORDINGS

By participating in this trip, you grant permission to Connections, TCVB and TMG to use any photos in which you may appear. Specifically:

  • You authorise the use of your name, voice, image, likeness, and any media materials you provide, for promotional, editorial, and commercial purposes.

  • You waive all rights of privacy, publicity, compensation, copyright, and moral rights related to said materials.

  • You agree to provide any relevant media you may record during the trip and acknowledge that such materials may be edited or published without prior review.

LIABILITY DISCLAIMER

While every precaution will be taken to ensure a safe and enjoyable experience, Connections, TCVB, and TMG will not be held responsible for personal injury, illness, loss, or damage incurred during the trip. Participants are advised to ensure comprehensive travel insurance is in place.
